2. Information we collect

Depending on your enquiry or booking, we may process:

  • Contact details: your name, email address, telephone number, address and country of residence.

  • Travel preferences: destinations, dates, activities, budget, accommodation preferences, group size and details of accompanying travellers.

  • Booking information: traveller names, dates of birth, nationality, itinerary, reservation references and information required by the travel providers involved. Passport or other identification details are requested only where needed for specific arrangements.

  • Communications: enquiry and form submissions, emails, chat messages and relevant notes of conversations.

  • Financial administration: invoice details, payment amounts, payment status and transaction references.

  • Website information: IP address, browser and device information, pages visited and information collected through cookies or similar technologies.

We usually receive information directly from you. We may also receive relevant details from the person arranging your group’s trip or from travel partners involved in your booking.

If you provide information about other travellers or an emergency contact, please inform them and share this policy with them.

3. How and why we use your information

We use personal information to:

  • Answer enquiries and provide travel advice.

  • Prepare proposals and arrange requested travel services.

  • Communicate about bookings, travel preparations, changes and support.

  • Coordinate with the travel partners involved in your trip.

  • Maintain financial records and meet legal obligations.

  • Handle complaints, protect our business and deal with legal claims.

  • Operate, secure and understand the use of our website.

  • Send marketing communications where permitted by law.

Our legal grounds depend on the purpose. These include taking steps at your request before entering a contract, performing our contractual obligations, complying with legal obligations, consent and legitimate interests.

Our legitimate interests include responding to general correspondence, maintaining appropriate business records, protecting our website and handling complaints or claims. Where we rely on these interests, we must consider your rights and the impact on your privacy.

Requesting a proposal does not automatically subscribe you to unrelated marketing. Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

Where information is necessary to answer your request or arrange a booking, we may be unable to provide the relevant service without it.

4. Health, accessibility and dietary requirements

You may choose to tell us about health conditions, accessibility needs, allergies or dietary requirements relevant to your trip. Some of this information may be sensitive personal data.

We use and share this information only where necessary for the requested arrangements and where an appropriate legal basis and condition for processing sensitive data apply. Where required, we ask for your explicit consent.

Please provide only relevant details and avoid sending medical records or identification documents through general enquiry forms. If you withdraw consent, we may be unable to arrange certain assistance or services.

5. Who receives your information

We share relevant information with the parties needed to prepare or fulfil your travel arrangements. Depending on your booking, these may include local tour operators, accommodation providers, transport companies, guides and other travel suppliers.

We also use service providers for website hosting, forms, communications, IT services and business administration. Our website is hosted on Wix.

Where a provider processes information on our behalf, appropriate data-processing arrangements are required. Some organisations, including travel suppliers, act as independent controllers and process information under their own privacy notices and legal obligations.

We may also disclose information to professional advisers or public authorities where required by law or necessary to establish, exercise or defend legal claims.

You can contact us for information about the recipients involved in your booking.

6. Payment information

Payment arrangements depend on the booking and the travel services involved.

Payment providers used for a booking may process payment data under their own privacy terms. Please review the privacy information provided with the relevant payment method.

TRVL Lifestyle may process invoice details, payment status and transaction references for booking administration. This does not mean that TRVL Lifestyle receives or stores your full payment-card details.

Please do not send full card details or card security codes through email, chat or website enquiry forms.

7. Cookies, analytics and external services

Our website uses cookies and similar technologies to support website functionality, security and preferences.

Where enabled, analytics technologies help us understand website visits and page use. Advertising technologies may measure campaign results or support relevant advertising. Embedded content, such as social media feeds, may also involve processing by external providers.

Where legally required, non-essential cookies and similar technologies require your consent. You can manage your choices through the website’s cookie controls where available, or through your browser settings. Blocking certain cookies may affect website functionality.

For information about the technologies currently used or help with your choices, contact info@trvllifestyle.com.

External websites and platforms have their own privacy and cookie notices. This policy covers TRVL Lifestyle’s processing.

8. International transfers

Travel arrangements may require us to share personal information with partners outside the European Economic Area, including partners in Tanzania. Technology providers may also process information in other countries.

Transfers outside the EEA require a valid basis under the GDPR. Depending on the destination and recipient, this may involve a European Commission adequacy decision or appropriate safeguards, such as standard contractual clauses and any necessary additional measures.

In limited circumstances, a specific legal exception may apply, such as a transfer necessary to perform your travel contract or take steps you requested before a contract. Such exceptions apply only where their legal conditions are met.

Contact us for details of the countries, transfer arrangements and safeguards relevant to your information, including how to obtain a copy of applicable safeguards.

9. How long we retain information

We retain personal information only for as long as necessary for the purpose for which it was collected, including applicable legal requirements.

The retention period depends on the type of record:

  • Enquiries and proposals: for the period needed to handle your request and relevant follow-up.

  • Booking records and correspondence: for the period needed to arrange and complete your trip, resolve outstanding matters and handle relevant complaints or claims.

  • Financial and administrative records: for the retention period required by applicable tax and accounting law.

  • Sensitive travel information and identification details: only for as long as necessary for the relevant arrangements or a specific legal requirement.

  • Marketing records: until you withdraw consent or object, where applicable. Limited information may be retained to respect your choice not to receive further marketing.

  • Cookie and technical information: according to the purpose and lifetime of the technology concerned.

When determining retention periods, we consider whether a matter remains active, legal obligations and applicable claim periods. Information is deleted or anonymised when there is no continuing basis to retain it.

You may ask us about the retention period applicable to a particular record.

10. Your privacy rights

Subject to the conditions and exceptions in the GDPR, you may:

  • Request access to your personal information.

  • Ask us to correct inaccurate or incomplete information.

  • Request deletion of your information.

  • Request restriction of processing.

  • Object to processing based on legitimate interests.

  • Object at any time to processing for direct marketing.

  • Request a portable copy of information where the right to data portability applies.

  • Withdraw consent where processing relies on it.

Send requests to info@trvllifestyle.com. We may ask for proportionate information to verify your identity.

We normally respond within one month. If an extension is legally permitted because of the complexity or number of requests, we will explain this within the first month.

You may lodge a complaint with the Dutch supervisory authority, Autoriteit Persoonsgegevens, at www.autoriteitpersoonsgegevens.nl, or another competent data protection authority. You do not need to contact us before making a complaint.

11. Security

We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, alteration, misuse and disclosure.

No online transmission or storage system can be guaranteed completely secure. If you suspect a privacy or security issue involving information you have shared with us, please contact info@trvllifestyle.com promptly.

12. Children

Our enquiry and booking services are intended to be used by adults. A parent, guardian or authorised adult should provide information needed for children travelling with the group.

We limit children’s information to what is relevant for the travel arrangements. Where consent is required, it must be obtained from the appropriate person under applicable law.

If you believe a child has provided personal information without appropriate adult involvement, contact us so we can review and address it.

13. Policy updates

We may update this policy when our services, processing activities or legal requirements change. The date at the top identifies the latest version.

Where required, we will notify you of significant changes and request fresh consent if a new processing activity requires it.
